Located in Staunton, Virginia, the ASC is home to the world’s first recreation of the Blackfriars Playhouse, where we inspire and engage with innovative, audience-focused storytelling. 

About the Position 

The Fundraising & Development Manager is a key member of ASC’s Patron Loyalty Team and plays an essential role in the day-to-day success of donor relations and fundraising operations. This full-time, on-site position is responsible for donation processing, CRM management, mid-level donor stewardship, and providing executive and administrative support to the Director of Marketing & Development. 

The Fundraising & Development Manager also collaborates across the Patron Loyalty Team to maintain donor data accuracy, track acknowledgments, and coordinate the production of recognition materials and campaign reports. On Saturdays, this person serves as a welcoming face in the Playhouse, helping steward donors and special guests.

Key Responsibilities 

Donor Stewardship & Relationship Management 

  • Manage a portfolio of donors, ensuring consistent, personalized outreach and stewardship 
  • Manage donor communications including thank-you letters, handwritten notes, email follow-ups, and post-event acknowledgments. 
  • Make one-on-one outreach through phone calls and personalized check-ins
  • Schedule and facilitate donor coffee meetings or in-person touchpoints 
  • Provide concierge-style follow-up for donors visiting Staunton, including personalized seat notes or greetings 
  • Assist the Director of Marketing and Development with scheduling donor meetings, taking notes, and managing follow-up communication 
  • Monitor Playhouse attendance and engagement for donors, board members, and VIPs
  • Support donor hospitality and relationship-building during Saturday performances 

Donation Processing & CRM Management 

  • Process all incoming donations and generate timely acknowledgment letters and tax receipts
  • Maintain accurate and up-to-date donor records in PatronManager (Salesforce-based CRM)
  • Prepare segmented lists for appeals, reports, and campaign tracking 
  • Coordinate with the Database Manager and Finance team to ensure proper reconciliation, data audits, and tracking 

Administrative & Departmental Coordination 

  • Provide calendar and inbox support to the Director of Marketing & Development 
  • Organize donor records and materials for board meetings and cultivation campaigns
  • Monitor and respond to shared departmental inboxes for Development and Marketing
  • Support document preparation for internal donor briefings, appeals, and meetings 

Board & Trustee Support 

  • Coordinate logistics and provide support for quarterly board meetings (RSVPs, presentations, spreadsheets, packets, setup, catering, minutes) 
  • Maintain trustee rosters and committee lists 
  • Assist with new trustee onboarding and communications 

Recognition & Reporting 

  • Prepare and update ASC’s Donor Honor Roll four times per year for program books, posters, and web use 
  • Assist the Playhouse Patron Loyalty Manager and Communications Manager by gathering donor-related content for the Donor Impact Update and Donor Impact Report 
  • Maintain campaign tracking documents and donor engagement reports in coordination with the Patron Loyalty Team 

Work Environment and Schedule 

  • Full-time, on-site position based in Staunton, Virginia 
  • Typical weekly schedule: 
    • Tuesday 9:00 am – 5:00 pm 
    •  Wednesday – Friday, 11:30 a.m.–7:30 p.m. (Flexible pending on show schedule)
    •  Saturday, 12:00 p.m.–8:00 p.m. (Playhouse patron greetings) 
    • Flexible weekly time for donor-related administrative tasks, departmental coordination, and quarterly Saturday morning board meetings. Schedule may shift slightly based on productioncalendars and events

Qualifications 

Required Skills and Experience 

  • 2+ years of nonprofit, administrative, fundraising, or donor relations experience
  • Excellent written and interpersonal communication skills 
  • Strong attention to detail and ability to manage sensitive data 
  • Comfort with CRM systems (Salesforce or PatronManager preferred) and spreadsheet tools
  • Ability to work Saturdays and occasional evenings for donor greetings and special events 

Preferred Skills and Experience 

  • Experience with donor acknowledgment processes and stewardship 
  • Familiarity with theatre, Shakespeare, or arts nonprofits 
  • Interest in relationship-building and storytelling in a mission-driven environment 

Compensation and Benefits 

This is a full-time, salaried, exempt position with an annual salary of $43,000. Benefits include:
