OVERVIEW

The American Shakespeare Center seeks a dedicated and detail-oriented Group Sales Assistant to join our team. The Group Sales Assistant will play a crucial role in managing financial transactions for group sales bookings, including processing checks, generating invoices, and payment chasing unpaid invoices. This person should feel comfortable answering financial questions for upcoming groups over the phone and via email. The ideal candidate will have strong organizational skills, a keen attention to detail, and a solid understanding of financial processes. The Group Sales Assistant reports to the Group Sales Coordinator to ensure accuracy and efficiency of reporting.

RESPONSIBILITIES

  • Coordinate with the Group Sales Coordinator to collect upcoming and late group sales payments.
  • Ensure the accurate and timely collection of patron payments.
  • Process confirmed group requests and ticket orders.
  • Record and reconcile group sales payments in Patron Manager Database.
  • Generate and distribute invoices to Group Sale Contacts.
  • Management of all incoming and outgoing payments including setting deadlines for group sales transactions.
  • Create monthly group sales and education reports.
  • Perform daily tasks for Group Sales, including scanning check payments, reviewing the daily credit card breakdown, connecting payments to group sale records, and responding to emails from Group Sales clients regarding payment inquiries.
  • Send payment confirmation emails to Group Sales clients upon receipt of their deposit and when their balance is paid in full. Additionally, conduct weekly follow-ups with Group Sales clients for late deposits and final balance payments, ensuring timely resolution, with final balances due two weeks before the event.
  • Be on-call to manage student matinee check-ins if the Group Sales Coordinator is unavailable so comfort speaking to large groups of students is beneficial.

Preferred Skills

  • Demonstrated financial and bookkeeping experience is preferred.
  • Courteous and professional demeanor when dealing with group leaders, addressing inquiries, and providing clear instructions to colleagues, providing excellent customer service in all financial interactions.
  • Strong time-management skills to prioritize tasks and meet deadlines in a fast-paced environment.
  • Understanding and commitment to maintaining the confidentiality of financial information and sensitive data.
  • Flexibility and adaptability to changing priorities and tasks as required in a dynamic work environment.
  • Must be able to work in a collaborative environment. This position will report to the Group Sales Coordinator but will need to work interdepartmentally
  • Ability to problem solve and think on your feet to resolve unexpected challenges.

COMPENSATION

The Group Sales Assistant is a part-time, in-person, hourly position at $17 per hour for 20-24 hours per week.
